Ensuring Yorkshire Water delivers against its regulatory commitments

Yorkshire Water (YWS) ensures that 5.2 million people living in the region have clean safe drinking water on tap and that their wastewater is taken away. The company cares passionately about the environments and communities within which it operates and over the past few years it has invested heavily in people, technology, and processes to help manage escapes of water and to ensure that the company delivers against its regulatory commitments.

Prior to mapping, understanding and automating the escapes process with Nintex, Yorkshire Water (YWS) was challenged with the speed of reaction, coordination of response teams, capture and communication of metrics as well as the wider collation of data for insight and performance management, most of which relied on physical visits, manual paper-driven forms and re-keying of data into isolated spreadsheets. It was a complex, complicated, time and labour intensive process, open to human error and was costing YWS in terms of both time and financial penalties from the regulator.

Simplifying the process using Nintex

Synergi worked with YWS to understand the challenges and processes, then map and define the current and future processes using Nintex Promapp.

We developed a bespoke solution built on the Nintex platform. The Escapes App was designed to digitise and streamline the entire process, from initial alert, through investigation and data capture phases, to reporting and collaboration with the Environment Agency and regulatory bodies. A mobile-enabled solution was required for front-line workers to capture accurate data from the site alongside supporting images and video media, which are used to define the escape and provide evidence of remedial works completed.

The Escapes App uses both Nintex Forms and Nintex Workflow to work smoothly and simply. Nintex Forms ensure that crucial details around an escape are captured at the initial alert phase. Task Forms are then an important element in the initial and full investigation stages, ensuring that accurate and relevant data is captured at each stage. Geolocation and File Upload controls help to provide rich imagery and video in support of each stage alongside the rich data capture and form validation.

Accuracy and enhanced data collection

Nintex Workflow provides the real power behind this complex multi-stage process, ensuring that the right data and information flows between systems (including SAP and field-services apps), notifications and updates are sent to the right people and that tasks are assigned and monitored to ensure a smooth transition between departments. Finally, workflow and document generation actions help to collate and compile large amounts of data and media into the regulatory reporting that is required.

The primary benefit of the Nintex solution is the enhanced data collection that enables us to more accurately record an escapes incident allowing us to fully understand the root cause and resolve this first time, reducing the environmental or customer impact. Having data and process milestones to evidence action and timescales helps to ensure that the escapes are accurately categorised improving our reporting to the EA and Ofwat.

It is fully anticipated that the Escapes App built with Nintex and the process which it has automated will save the business several million pounds in penalty payments over the next 1-2 years. The time to respond to escapes, investigate and take remedial action has also been lowered significantly, positively benefiting any potential pollution events and their environmental and geographical impact.

Working with Synergi on this project has been a pleasure, they took time to understand and map our existing process and the process we wanted to implement. This allowed us to work closely together through the development of Escapes App solution. Through the development we made multiple changes to enhance the solution and the team at Synergi displayed a real can-do attitude in implementing these into the end product.

The Escapes app has met the aims of the project and allows us to record all the required information to evidence and understand pollution and flooding incidents whilst at the same time automating the reporting process to the EA. It is early days, but we are already starting to see the benefits of the enhanced data collection and automation compared to our previous process. We are looking forward to working with Synergi to further refine the Escapes App to make this even more effective and efficient.
